Acceptable use policy
Mailrail sends email for many businesses from shared infrastructure. When one sender mails people who never asked for it, mailbox providers block the infrastructure everyone relies on. This policy is the set of rules every workspace agrees to before it can send. It is part of the terms of service.
1. Only email people who asked for it
- Every recipient must have given you their address and agreed to hear from you, or be in an existing business relationship with you that the law in their country recognises as consent (for example, a customer receiving receipts and account notices).
- You must be able to show, for any address, when and how it was collected.
- Never send to purchased, rented, traded, scraped, harvested or appended lists, or to addresses from co-registration or lead-generation partners, however they were described to you.
- Never send to role addresses (such as info@ or sales@) or to addresses you found on websites unless that person signed up.
- Lists that have not been mailed in over 12 months must be re-confirmed before they are mailed again.
2. Prohibited content
You may not use Mailrail to send email that:
- is phishing, impersonates another person or brand, or tries to collect passwords, payment details or other credentials under false pretences;
- contains or links to malware, or to sites that host it;
- is illegal where it is sent or received, or promotes illegal goods or services;
- promotes get-rich-quick or work-from-home schemes, multi-level marketing, unlicensed financial, investment or cryptocurrency offers, payday loans or debt relief;
- sells prescription drugs, controlled substances, weapons, or adult content;
- promotes gambling where it is not licensed;
- harasses, threatens, or promotes violence or hatred against people based on who they are;
- infringes someone else's copyright, trademark or privacy.
3. Every message must
- come from a domain you own and have verified in Mailrail, with accurate From, Reply-To and subject lines;
- clearly identify you as the sender;
- for marketing email, include a working unsubscribe link and your postal address. Mailrail adds both to campaigns and honours unsubscribes automatically; do not remove them or re-add people who unsubscribed;
- comply with the anti-spam and privacy laws that apply to you and your recipients, including CAN-SPAM (US), CASL (Canada), the GDPR and PECR (EU and UK).
4. Bounces, complaints and limits
- Keep hard bounces under 5% and spam complaints under 0.1% of the mail you send. Mailrail suppresses addresses that bounce or complain and never mails them again for you.
- New workspaces start with a low daily limit that rises as they send with clean results. Mailrail pauses campaigns automatically when bounce or complaint rates climb, and stops all sending from a workspace whose rates are far over these levels.
- Do not try to get around limits or pauses: no extra accounts or workspaces to spread one list across, no rotating sending domains, no sending a paused list through another provider and back.
- Do not use Mailrail to test or clean lists (sending to find out which addresses still work).
5. Enforcement
We review new workspaces before they can send, and we watch sending from all of them. If we believe a workspace breaks this policy, we may pause or limit its sending, cancel queued messages, or close the account, with or without notice, and we may report illegal activity to the authorities. Where we can, we will tell you what we saw and how to fix it.
6. Report abuse
If you received email sent through Mailrail that you did not ask for, forward it with its full headers to abuse@mailrail.io. We look at every report.
